Questions operators ask us

How does Phong Nga AI integrate with my existing ELD/TMS?

Phong Nga AI connects to your telematics provider (Samsara, Geotab and Motive are supported) through their APIs, and to your TMS through webhooks, REST and file-based imports. Orders can arrive by email, PDF or EDI 204. Most pilots are live within days, and your existing system remains the system of record.

Is proprietary company pricing and customer data safe?

Yes. Data is encrypted in transit and at rest, and is never used to train models. Enterprise customers receive a zero-retention SLA: prompts and outputs are not stored by the model provider after a request completes. Rates, margins and customer lists stay inside your tenant, and every AI action is written to an audit log.

What happens if a driver does not respond to the automated assistant?

The assistant follows an escalation ladder you control: it retries on a second channel, then calls by voice, and finally alerts a human dispatcher with the load context and last known position. Nothing is silently dropped, and no assignment is marked confirmed until the driver acknowledges it.

Can we override AI dispatch suggestions manually?

Always. Dispatchers can accept, edit or reject any suggestion, or set rules such as "auto-approve only when margin is above X". Every override is logged and used to tune future recommendations for your fleet.

1. Who we are

Phong Nga AI ("we", "us") is a product of Phong Nga Trading & Transport Services Co., Ltd. (Công ty TNHH Thương mại và Dịch vụ Vận tải Phong Nga), a company incorporated in Vietnam with its registered office at Thanh Binh Hamlet, Kep Commune, Bac Ninh Province, Vietnam. We provide an AI-powered fleet dispatch and logistics orchestration platform (the "Service") to transport and logistics businesses ("Customers"). This policy explains how we handle personal data on this website and in the Service. Questions: contact@phongnga.online.

3. How we use data

We use data to provide and secure the Service, generate dispatch recommendations, communicate with drivers on a Customer's instructions, respond to enquiries, and comply with law. We do not sell personal data, and we do not use Customer Data to train AI models.

4. AI processing and sub-processors

To generate recommendations, relevant Customer Data is sent to third-party AI model providers (including Anthropic, PBC for Claude models) and to cloud, messaging and telematics infrastructure providers acting as sub-processors under contractual confidentiality and security obligations. Enterprise Customers may agree zero-retention terms under which model providers do not store prompts or outputs after a request completes.

5. Retention

Customer Data is retained for the term of the Customer's subscription and deleted or returned within 30 days after termination on request, except where law requires longer retention. Audit logs may be kept for the period configured by the Customer.

6. Security

Data is encrypted in transit (TLS) and at rest. Access is limited to authorised personnel on a need-to-know basis and AI actions are recorded in an audit log. No system is perfectly secure; we will notify affected Customers of a confirmed breach without undue delay.

7. Your rights

Depending on your location you may have the right to access, correct, delete or export your personal data, or to object to certain processing. Drivers and other individuals whose data is processed on behalf of a Customer should contact that Customer first; we will assist them in responding. For website data, email contact@phongnga.online.

8. International transfers

Data may be processed in countries other than where it was collected. Where required, we rely on appropriate safeguards such as standard contractual clauses.

9. Cookies

This website does not use advertising or tracking cookies.

10. Changes

We may update this policy and will change the "Last updated" date above. Material changes affecting Customers will be notified by email.

Terms of Service

1. Agreement

These Terms govern access to and use of the Phong Nga AI platform and website (the "Service"), operated by Phong Nga Trading & Transport Services Co., Ltd. ("Phong Nga AI", "we"). By using the Service you agree to these Terms on behalf of yourself and the business you represent. If you do not agree, do not use the Service.

2. The Service and AI outputs

The Service uses artificial intelligence to generate dispatch recommendations, driver communications and audit findings. AI outputs may be incomplete or incorrect. Customer remains solely responsible for dispatch decisions, vehicle and driver safety, compliance with hours-of-service, licensing, customs and other transport regulations, and for reviewing outputs before relying on them. Automated actions occur only within the approval rules Customer configures.

3. Accounts and acceptable use

Customer must keep credentials secure and is responsible for activity under its accounts. You must not misuse the Service, attempt to disrupt or reverse engineer it, use it to violate law or third-party rights, send unlawful or unsolicited messages to drivers or others, or input data you have no right to share. We may suspend access for breach or security risk.

4. Fees

Fees are set out on the pricing page or in an order form, are billed in advance monthly or annually, are non-refundable except where required by law, and exclude applicable taxes. Pilots are provided on the terms agreed in writing for the pilot period.

5. Customer Data

Customer retains all rights in its data and grants Phong Nga AI a limited licence to process it solely to provide the Service. Customer warrants it has all rights and consents (including from drivers) needed to submit that data and to have drivers contacted by the Service. Our handling of personal data is described in the Privacy Policy.

6. Intellectual property

Phong Nga AI and its licensors own the Service, software, models, documentation and all related intellectual property. We grant Customer a non-exclusive, non-transferable right to use the Service during the subscription term. Feedback may be used by us without obligation.

7. Confidentiality

Each party will protect the other's non-public information with reasonable care and use it only for the purposes of the Service, except where disclosure is required by law.

8. Third-party services

The Service relies on third-party providers, including AI model, telematics, messaging and cloud services. Their availability is outside our control, and their own terms may apply to features that depend on them.

9. Disclaimer of warranties

The Service is provided "as is" and "as available". To the maximum extent permitted by law, we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose, non-infringement, and any warranty that AI outputs will be accurate, uninterrupted or error-free.

10. Limitation of liability

To the maximum extent permitted by law, Phong Nga AI will not be liable for indirect, incidental, special, consequential or punitive damages, or for loss of profits, revenue, cargo, data or goodwill, and its total liability arising from the Service will not exceed the fees paid by Customer in the 12 months before the event giving rise to the claim. Nothing excludes liability that cannot be excluded by law.

11. Indemnity

Customer will indemnify Phong Nga AI against third-party claims arising from Customer's data, its dispatch and operational decisions, or its breach of these Terms.

12. Term and termination

Subscriptions renew for successive periods until cancelled. Either party may terminate for material breach not cured within 30 days. On termination Customer's access ends and data is handled as described in the Privacy Policy.

13. Governing law and changes

These Terms are governed by the laws of the Socialist Republic of Vietnam unless Customer's order form or enterprise agreement states otherwise. We may update these Terms by posting a new version; continued use after the effective date means acceptance. Contact: contact@phongnga.online.
